As a Retrieval Representative, you will work within our records retrieval department, communicating with custodians via phone, email, and fax to track and secure medical records. Your role involves ensuring timely receipt of requested documents while maintaining ChartRequest’s standards for quality and customer service.
Outbound Communication: Conduct outbound calls to medical organizations to confirm receipt of record requests and ensure timely delivery.
Request Management: Process faxed and emailed medical record requests via proprietary software and a support ticketing system.
Follow-Up: Monitor, track, and escalate overdue requests while maintaining a clear schedule of follow-up calls.
Record Keeping: Document custodian interactions, including inquiries, complaints, and resolutions.
Compliance: Ensure compliance with HIPAA, federal, and state regulations on medical record confidentiality and processing timelines.
Administrative Tasks: Update customer information, record address/fax changes, and assist in other administrative duties as assigned.
Customer Service: Provide exceptional customer service by resolving custodian issues, advising on necessary actions, and maintaining cooperative relationships.
Active Listening & Communication: Ability to clearly express information both orally and in writing.
Critical Thinking: Analyze information, evaluate solutions, and resolve problems effectively.
Customer Service Orientation: Strong ability to maintain positive customer relationships.
Persuasive Communication: Convince and guide custodians to ensure timely records delivery.
Education: Minimum Associate Degree required.
Experience:
3+ years in healthcare, medical records retrieval, or a fast-paced customer service role (business-to-business preferred).
Experience with Customer Relationship Management (CRM) software.
Prior administrative experience in a healthcare or Release of Information (ROI) environment is preferred.
Technical Proficiency: Ability to learn healthcare terminology and work effectively with internal systems and regulatory standards.
Working Hours: Must be available during 8:00 AM - 5:00 PM Eastern Time (Atlanta, GA) – This is a mandatory requirement.
Background Check: All candidates must successfully complete a background check before their start date.
